Smart RO Service ("we", "us") is committed to protecting your personal information. This policy explains what we collect, how we use it, and your rights under the UK GDPR and the Data Protection Act 2018.

- Account data: name, email address, phone number.
- Service data: billing/service address, postcode, property type, notes you provide.
- Booking & payment data: booking history, subscription status, payment references (we never see or store your full card number — that is handled by our PCI-DSS compliant payment provider).
- Technical data: IP address, browser type, and cookies used to keep you signed in.
2. How we use your data
- To provide, schedule and deliver the services you have booked or subscribed to.
- To communicate about your appointments, subscription renewals and account.
- To comply with our legal obligations (tax, accounting, consumer law).
- With your consent, to send occasional service tips or offers — you can unsubscribe any time.
3. Lawful bases
We rely on: (a) contract necessity for booking & subscription delivery, (b) legitimate interests for fraud prevention and service improvement, (c) legal obligation for finance/tax records, and (d) consent for optional marketing communications.
4. Who we share data with
- Our vetted, DBS-checked engineers (only the details they need to complete your visit).
- Our payment processor, to take card payments securely.
- HMRC and other regulators where required by law.
We do not sell your personal data.
5. How long we keep data
We keep account and booking records for 6 years after the last transaction (to meet UK tax and consumer-rights obligations). Marketing preferences are kept until you withdraw consent.
6. Your rights
You have the right to access, correct, delete, restrict, port your data, and to object to processing. To exercise these rights, email privacy@smartroservice.co.uk. You may also lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
7. Cookies
We use only strictly-necessary cookies for authentication and session management. We do not use tracking or advertising cookies.
